Aspire Dance – Terms and Conditions

1. General

1.1 These Terms and Conditions apply to all classes, workshops, rehearsals, performances, competitions, virtual learning, and any other activities organised by Aspire Dance.

1.2 By enrolling a participant in any Aspire Dance activity, the parent/guardian (or participant if over 18) agrees to abide by these Terms and Conditions. This agreement is accepted and acknowledge thought he class for kids system. 

1.3 Aspire Dance may update or amend these Terms and Conditions at any time. Updates will be communicated via email and/or available on the website. www.aspiredanceuk.co.uk

1.4 All parents/guardians and participants must adhere to Aspire Dance’s Codes of Conduct, Safeguarding Policy, Health and Safety Policy, and GDPR/Data Protection Policy, which form part of these Terms and Conditions.

2. Registration and Membership

2.1 All participants must complete a full registration form before attending any class, including medical, emergency contact and authorised collection information.

2.2 Parents/guardians are responsible for ensuring all details remain accurate and up to date.

2.3 Aspire Dance reserves the right to refuse admission where registration is incomplete or payment obligations are not fulfilled.

2.4 Aspire Dance may withdraw your membership if deemed necessary at any point without notice. 

3. Booking, Payment and Trials

3.1 All class bookings and subscriptions are managed through the ClassForKids system.

3.2 Monthly subscriptions are paid via recurring card payment and are collected on the 1st of each month. If payment fails, the system will automatically attempt payment again on the 4th and 9th. If payment fails on the 2nd attempt a ÂŁ10 administration fee will be applied. If payment fails on the 3rd attempt attendance will be suspended until payment is received.

3.3 A paid two-week trial is available for new participants and must be booked through Class For Kids.

3.4 A participant must have an active subscription before attending any class.

3.5 The minimum booking commitment is one full calendar month.

3.6 Aspire Dance may invoice additional “covering payments” for competitions, events, costumes, exam fees, or other extras.

4. Notice Period and Cancellation

4.1 A minimum of 30 days’ written notice is required to withdraw from classes.

4.2 Notice must be given before the 7th of the month to avoid the next month’s subscription fee being charged.

4.3 Notice is not considered served until Aspire Dance acknowledges receipt in writing.

4.4 Aspire Dance will process cancellations within the ClassForKids system once notice is confirmed.

5. Refunds

5.1 All payments are final 

5.2 No refunds are issued for missed classes due to your own circumstances.

5.3 Classes may be cancelled at short notice due to severe weather, illness, or other circumstances beyond our control.

5.4 If Aspire Dance cancels a class an alternative may be offered where possible as a good will gesture but may not be guaranteed.

6. Attendance and Conduct

6.1 Participants must attend classes punctually, wearing appropriate dancewear, with hair tied back and no jewellery.

6.2 All students and families are expected to behave respectfully to foster a positive, inclusive environment.

6.3 Aspire Dance reserves the right to remove any participant whose behaviour is unsafe, disruptive, or inappropriate without notice or refund. 

6.4 Mobile phones must be switched off or set to silent during class.

6.5 No food or chewing gum is permitted in the studio. Only water bottles are allowed.

7. Supervision and Safeguarding

7.1 Children are under the supervision of Aspire Dance staff only during their scheduled class time.

7.2 Pre-school participants must be accompanied by a parent/guardian throughout the class.

6.3 Aspire Dance staff do not supervise toilet use. Parents/guardians must accompany their child when needed.

7.4 Children will only be released to those listed on the registration form unless prior written authorisation is provided.

7.5 Professional and appropriate physical contact may occur for instruction, safety, or posture correction.

7.6 Consent regarding photography must be indicated at registration. Parents must update Aspire Dance if this changes.

7.7 Safeguarding concerns must be reported immediately to DSL Annabel Hey (T: 07736 717265 E: missannabel@icloud.com).

8. Health and Safety

8.1 Parents/guardians must disclose all relevant medical conditions, injuries, allergies, or additional needs before attending classes and update Aspire Dance as required.

8.2 Participants should bring a labelled water bottle and are encouraged to use the toilet before class.

8.3 Aspire Dance will take reasonable measures to provide a safe environment but cannot accept responsibility for loss or damage to personal belongings.

8.4 Participation is at the participant’s own risk.

8.5 Participants must act under instruction only, Aspire Dance cannot accept responsibility for any injuries occurring from activities not instructed.  

8.6 Participants must refrain from attending class if they have had any form of illness within 48 hours.

9. Photography, Media and Data Protection

9.1 Aspire Dance may take photographs or video recordings for promotional or educational purposes, subject to consent.

9.2 Parents/guardians who do not consent must notify Aspire Dance in writing.

9.3 Filming/photography by Parent/guardians is not permitted unless specifically allowed.

9.4 Personal data is handled in accordance with current UK data protection legislation.

9.5 Personal data will not be shared with third parties without consent, except where required by law.

9.6 Information provided will only be used for the purposes of delivering Aspire Dance activities and communicating relevant information. 

10. Events

10.1 Participation is at Aspire Dance’s discretion.

10.2 Additional fees may apply.

10.3 Aspire Dance will provide notice of event dates and requirements.

10.4 Performance Team participants should rad and sign the Performance Team agreement

10.5 Participants should read and sign any letters/communication relevant to the event. 

10.6 Aspire Dance reserves the right to withdraw participation at any time for any reason. 

11. Virtual Learning

11.1 Virtual classes may be offered where appropriate.

11.2 Participation requires completion of the document Virtual Learning Terms.

11.3 Parents/guardians are responsible for providing a safe environment in accordance with the Terms.

12. Liability

12.1 Aspire Dance holds public liability insurance.

12.2 Aspire Dance accepts no liability for injuries or loss occurring outside scheduled class times or in shared areas.

12.3 Parents/guardians are responsible for safe and prompt drop-off and collection.

13. Complaints & Legal Framework

13.1 Concerns should be raised with Miss Annabel who will follow internal complaint resolution procedures Annabel Hey (T: 07736 717265 E: missannabel@icloud.com).

13.2 A formal complaints policy is available on request.

13.3 These Terms are governed by the laws of England and Wales.
